Each computer can be configured to print labels on different printers in different sizes. For example: oil change on a Zebra 2" and tire labels on a Zebra 4".

Configuring the oil change label printer

  • Install your label printer's drivers.
  • Go to the Windows "Start" menu, then to "Devices and Printers".
  • Select the Zebra printer.
  • Right-click to select "Printer properties".


In the "Properties" menu, click on the "Preferences" button.

Go to the size tab.

  • Click on "new" to add a size or "change" to make a change
  • Create a style "Oil"
    • Choose the size:
    • Width 5.08
    • Height 5.55
  • Save.

Return to the option tab.

  • Select the speed 7.6 cm/s.
  • Choose a temperature of 5.
  • Choose the size "Oil".


Go to the tab "Advanced settings".

  • Select "thermal transfer" in continuous mode.

  • Go to the Configuration / Local Configuration menu.

  • Select the option "Product labels".
  • In the scroll-down printer menu, choose Zebra .
  • Save by clicking on the diskette icon on the bottom right (not the one in the grid).

R.O. Writer provides you with a quick and easy way to print oil stickers. You can place these stickers on the inside of the windshield. This helps customers know when they need to schedule another oil change.

Each machine that prints oil stickers must be configured.

Configuration Overview

After the oil sticker is connected and recognized by the local machine, you must complete the following steps:

Step 1 - Choose the Oil Sticker Printer in Printer Locations

Step 2 - Select the Settings in Oil Sticker Configuration

  • Step 2a - Choose the Content of the Oil Sticker
  • Step 2b - Set the Font Size for Each Field
  • Step 2c - Select the Comment Position and Prompting
  • Step 2d - Enter the Next Service Due Calculations (if Selected)
  • Step 2e - Test Your Configuration

Prerequisite

The first step is buying and installing the correct sticker printer or printers.

Oil stickers require a special label printer. R.O. Writer supports the following label printers:

  • Most Microsoft® Windows®-compatible label printers
  • Zebra® TLP 2824 Plus
  • Godex RT 200i

When you have obtained the correct printer, you must connect each printer to each machine that prints oil stickers.

Step 1 - Choose the Oil Sticker Printer in Printer Locations

You must connect your oil sticker printer to each machine in your shop that will print oil stickers.

NOTE: If the oil sticker you connect to the machine comes with software, you must also install that software on each machine.

Complete these steps:

  1. Open the Printer Locations setting (Configuration module > File menu > Printer Locations)
  2. In the Oil Sticker dropdown list, select the oil sticker printer you connected to the computer and installed.

  3. Click OK to save your setting.

NOTE: You may want to test print to this printer just to test the connection. Further setup is required to print an oil sticker with content.

Step 2 - Select the Settings in Oil Sticker Configuration

You configure and test the oil sticker itself in Oil Sticker Configuration. To access this setting, open Configuration and click Configuration menu > Oil Sticker.

Fields remain inactive until the Print box is checked.

  • You cannot enter or modify the content of an inactive field.
  • Inactive fields do not print even if there is content in them.

Step 2a - Choose the Content of the Oil Sticker

You choose the content in the Print Settings section. The way the information is typed in the fields is how the information prints on stickers.

When the Print box is checked, you can enter information in the fields.

The following table describes the content fields in the Print Settings section.

Shop Information

Shop information includes Shop Name, Address 1, Address 2, City, St Zip, and Phone. You can enter this information in or import it from your software license.

To import the information from your license, click the Import button in the Import Shop Information section.

  • The shop information is entered in the fields exactly as it appears on your software license.
  • You can edit the content in the fields after it is imported.

Comment

Comment is usually where you enter your company's motto or slogan. However, you can use this line to print whatever message you want the customer to see when they look at the sticker.

You choose the position of the comment in the Comment Position dropdown list in the Options section.

Service Text

The Service Text dropdown list is where you choose the visit information that prints on the sticker.

There are two options:

  • Next Service Due (the default)
    • Prints "Next Service Due" on the printed oil sticker.
    • Shows "Next Visit Information" on the Print Oil Sticker prompt.
    • Uses the Month and Miles fields in the Default Maintenance Wizard section to calculate the Date and Mileage of the next visit for you.
  • Last Service
    • Prints "Last Service" on the printed oil sticker.
    • Shows as "Current Visit Information" on the Print Oil Sticker prompt.
    • Defaults to the current date and current mileage.

Use Barcode

Use Barcode appears only if you are licensed for R.O. Writer DVI Suite.

Oil Type

Oil Type is the oil type entered in the labor.

Oil Type appears on the Print Oil Sticker prompt even if you do not check the Print box here; however, Oil Type does not print unless you check the Print box.

Mileage

Mileage is the Mileage field on the Print Oil Sticker prompt.

Mileage appears on the Print Oil Sticker prompt even if you do not check the Print box here; however, the Mileage will not print unless you check the Print box.

Service Date

Service Date is the Date field on the Print Oil Sticker prompt.

The Date field appears on the Print Oil Sticker prompt even if you do not check the Print box here; however, the Date does not print on the sticker unless you check the Print box on Service Date.

Step 2b - Set the Font Size for Each Field

You select the fields that print and how they appear in the Print and Font Size columns.

For each item with the Print box checked and content entered, select the font size in the Font Size column.

There are two options: Small Font and Large Font. You can select the font size for each field.

  • Small Font is selected for all fields by default. To fit more content on the sticker, select Small Font.
  • Large Font is an option for the information you want to emphasize on the label.

Step 2c - Select the Comment Position and Prompting

In the Options section, set the position of the Comment field and the behavior of the Oil Sticker prompt.

The following table describes the comment and prompt settings.

Comment Position

The Comment Position setting determines where the Comment line prints on the sticker. There are two options: Top or Bottom.

Prompting The Prompting setting determines if oil stickers print when finalizing repair orders that contain labor that is configured to print oil stickers.

There are three options:

  • Never means never prompt and never print oil stickers.
  • Prompt means always prompt to print an oil sticker. The prompt is the Print Oil Sticker window where you can modify some of the content.
    • If you click OK on the prompt, the oil sticker prints.
    • If you click Cancel on the prompt, the oil sticker does not print.

    TIP! Always check the information on the Print Oil Sticker window before clicking OK to print the oil sticker.

  • Always means do not prompt to print oil stickers BUT do print oil stickers immediately.

NOTE: The Prompting setting does not affect printing oil stickers on demand. When you print oil stickers from on an open ticket, the Print Oil Sticker Prompt always appears.

Step 2d - Enter the Next Service Due Calculations (if Selected)

If you choose Next Service Due as the Service Text, you can use the Default Maintenance Wizard to calculate the Next Visit Information for you.

When you choose Next Service Due, the Next Visit Information appears on the Oil Sticker prompt. You can review the calculated information and modify it before printing the oil sticker.

The following table describes the Maintenance Interval settings.

Months

Months is where you enter the number of months.

When calculating the date of the next oil change, R.O. Writer adds this number to the current month displays that date.

Mileage

Mileage is where you enter the number of miles.

When calculating the mileage of the next visit, R.O. Writer adds this number to the current mileage from the vehicle and displays that date.

Step 2e - Test Your Configuration

The Test button at the bottom of the window prints a test oil sticker to the oil printer selected in Printer Locations. Only the information with the Print box checked prints on the sticker.

Test your configuration before printing a sticker for a customer. You should

  • Verify and select the information you want to print.
  • See how much information will print on your sticker size.
  • Adjust the layout in printer properties as needed.

Step 3 - Configure the Printer Properties in Windows Control Panel

The layout settings are in the Printer Properties Windows setting for the oil sticker printer itself. For example, you can set the following on the printer:

  • Portrait or Landscape orientation
  • Margins
  • Size
  • Darkness level

R.O. Writer supports most label sizes including 2 in. x 1.5 in.

NOTE: Changes to the layout apply in R.O. Writer immediately. This means you can change the layout while Oil Sticker Configuration is open. After you make a change - on the Oil Sticker Configuration window OR the Windows Control Panel - just click the Test button to see how the layout changes impact printing.

Step 3a - Set the Printer Properties in the Windows Control Panel

You need to open the Printer Properties for your printer in the Windows Control Panel. You format the oil sticker label within the Printer Properties tab windows.

Every oil sticker printer is different. You should consult the material that came with the printer you purchased when modifying the settings in the Printer Properties in Windows.

Complete these steps:

  1. Click the Start button and open the Windows Control Panel.
  2. To find the Devices and Printers setting, you can:
    • Type "Printers" in the Search box in the upper right corner of the Windows Control Panel. Click the View Devices and Printers in the search results.

    • In the upper right corner, change the View to Large Icons

    • The Devices and Printers window opens displaying all devices and printers on your local machine.
  3. Right-click on your oil sticker printer and select Printer Properties.
  4. Click the Preferences button. What you do next depends on whether you have a Zebra or a Godex printer installed.
    • If you have a Zebra printer, click the Options tab on the Printing Preferences window. The Options tab opens and displays the layout settings for the oil sticker printer.

    • If you have a Godex printer, click the Page Setup tab on the Printing Preferences window.

  5. Adjust the margins for Portrait or Landscape until the oil sticker prints with the correct spacing.
  6. Click the Test button on the Oil Sticker Configuration window to test these settings.

  7. Review the printed oil sticker and edit these settings as needed.

NOTE: There are more settings for each type of printer than documented here. Please consult the materials you received from the manufacturer regarding the printer settings.

Step 3b - Test the Printer Properties in R.O. Writer Configuration

R.O. Writer designed the Oil Sticker Printer Configuration window to accept changes from the Printer Properties settings in Windows immediately.

You do not need to reboot R.O. Writer Configuration to test the Printer Properties settings from the Windows Control Panel. This means that you can set and test the oil sticker label as much as you need to until the label prints exactly as you want it.

Complete these steps:

  1. Make a change to the Preferences in the Printer Properties of the printer in the Windows Control Panel.
  2. Click the Apply button.
  3. Toggle over to the Oil Sticker Configuration window in R.O. Writer Configuration.
  4. Click the Test button to print a sticker and see the effect of the layout changes immediately.

To Put a Shortcut to the Devices and Printers Setting on Your Desktop

You may want to create a Windows shortcut directly to the Devices and Printers setting. Windows puts a shortcut on the Desktop.

Complete these steps:

  1. Open the Windows Control Panel.
  2. Right-click on Devices and Printers.
  3. Select Create Shortcut on the right-click menu. A message pops up saying that the shortcut must be created on the Desktop.
  4. Click Yes.

  5. The Devices and Printer shortcut appears on your Desktop

    . Click it to go directly to the Devices and Printers setting in the Windows Control Panel.

Step 4 - Configure Labor to Print Oil Stickers

You can configure jobs to print oil stickers. This includes labor operations and Smart eJobs.

Step 4a - Configure Labor Operations to Print Oil Stickers

You can set labor operations to print oil stickers. When the labor operation is set to print oil stickers, an oil sticker prints automatically when a repair order that contains that labor operation is finalized.

Complete these steps:

  1. In the Configuration module, click Configuration menu > Labor > Operations.
  2. Select the Category that contains the labor operations that you want to print oil stickers.
  3. Select the Operation.
  4. Check the Oil Sticker checkbox

  5. On the window that opens, enter the oil type as you want it to appear on the printed oil sticker.

    If Oil Type is left blank on the labor in Configuration,

    • There will be no line for oil type on the printed oil sticker when it is printed automatically after finalizing the repair order.
    • The Oil Type field label is red and the field is blank on the Print Oil Sticker window that opens when you print manually or are prompted to print on finalize.

    • You can type in the oil type before printing or leave it blank.
      • If you leave the Print Oil Sticker blank on the Print Oil Sticker window, there will be no Oil Type line on the printed oil sticker.
  6. Click OK. The labor operation is now set to print oil stickers.

NOTE: Setting a labor operation to print an oil sticker does not apply when the labor operation is used in a Smart Job. In that case, you must set the Smart Job to print an oil sticker as well.

Step 4b - Configure Smart Jobs to Print Oil Stickers

If you use Smart Jobs or Smart eJobs for oil changes, you can set those jobs to print oil stickers.

Even though Smart Jobs and Smart eJobs build on labor operations, you must set the Smart Job to print oil stickers. If the labor operation is set to print oil stickers but you do not set the Smart Job to print oil stickers as well, no oil sticker will print for the Smart Job.

To Configure Smart Jobs to Print Oil Stickers

When the Smart Job is set to print oil stickers, an oil sticker prints automatically when a repair order that contains that Smart Job is finalized.

Complete these steps:

  1. Click the Configuration menu > Labor > Smart Jobs.
  2. Select the appropriate Job Category.

  3. Select the Smart Job and click the Edit button. The Edit Smart Jobs screen for the selected Job Category opens.
  4. At the bottom left of the screen, check the Oil Sticker box

  5. On the window that opens, enter the oil type as you want it to appear on the printed oil sticker.

    If Oil Type is left blank on the labor in Configuration,

    • There will be no line for oil type on the printed oil sticker when it is printed automatically after finalizing the repair order.
    • The Oil Type field label is red and the field is blank on the Print Oil Sticker window that opens when you print manually or are prompted to print on finalize.

    • You can type in the oil type before printing or leave it blank.
      • If you leave the Print Oil Sticker blank on the Print Oil Sticker window, there will be no Oil Type line on the printed oil sticker.
  6. Click OK. The Smart Job is set to print oil stickers.

Step 5 - Configure Printing Bar Codes (Requires DVI Suite)

If you use DVI Suite, you can purchase an additional license that allows you to print barcodes on oil stickers.

You can scan this barcode when the customer arrives for their next visit to create a new repair order for today's visit. The new repair order contains the oil change labor from the customer's previous visit (when the barcode was printed).

To find out if you are licensed for this feature, check your Licensed Options. If you see the "Barcode Sticker" in the Licensed Options list, you are licensed to print barcodes on oil stickers.

To Configure Oil Stickers to Print Barcodes

If you are licensed to print barcodes on oil stickers, a Use Barcode checkbox appears on the Oil Sticker Configuration window.

Complete these steps:

  1. Check the Use Barcode box to print barcodes on every oil sticker.
  2. The Comment field is disabled automatically. The barcode replaces the Comment on the sticker.
    • The Comment field is also disabled on the Oil Sticker Print prompt.
  3. Decide where you want the barcode to print in the Comment Position dropdown list: Top or Bottom.
  4. Click the Test button to print a sample sticker.
  5. When the content on the sticker is the way you want it, click OK to save your changes.

What kind of printer do you need to print sticker labels?

It depends on your sticker's design but usually a 4-color inkjet printer with a 1200 dpi print resolution will more than suffice. In the less likely event that your sticker design requires dynamic color ranges and requires more tonal variation, look for a printer with no less than 6 cartridges.

What is an oil sticker?

An Oil Change Sticker generally tells you three pieces of information: The date of service, the type of oil used, and the mileage. Some oil change stickers are handwritten using a fine-point sharpie, while others are professionally printed with a thermal oil change printer.
